Responsibilities:
Assist in scheduling and coordinating project meetings, ensuring all stakeholders are informed and prepared.
Track and monitor project timelines, deliverables, and milestones, updating status reports for the project manager.
Maintain project documentation, including reports, project plans, budgets, and resource allocation.
Coordinate communication between internal teams and external stakeholders, ensuring alignment on project goals and progress.
Provide administrative support by preparing meeting agendas, recording minutes, and distributing follow-up action items.
Help with the preparation and submission of project proposals, reports, and funding applications.
Manage project-related data collection, ensuring accurate and timely input into project databases.
Assist in project budget tracking, monitoring expenses, and reporting discrepancies to the project manager.
Organize project-related travel, logistics, and events, ensuring smooth execution.
Support the implementation of project monitoring and evaluation frameworks, gathering data for project performance assessments.
Facilitate collaboration between different departments or teams to ensure efficient project execution.
Assist in managing project risks by identifying potential issues and escalating them to the project manager.
Maintain clear and up-to-date communication with project teams, ensuring they have the resources and information needed to meet deadlines.
Coordinate the preparation and distribution of project status updates to internal and external stakeholders.
Assist in reviewing and improving project processes to enhance efficiency and effectiveness.
Requirements:
Bachelor’s degree in a related field.
Proven experience in program management, including supervision of project managers.
Experience in working with vulnerable populations and delivering high-quality services.
Strong leadership and people management skills.
Excellent organizational and project management abilities.
Understanding of continuous quality improvement principles.
Experience in community-led program development and implementation.
Ability to establish and maintain positive relationships with community stakeholders.
Effective communication skills for collaboration with internal and external stakeholders.
Writing skills for preparing reports.
